# Midline Operations Team Blueprint

**Business:** Midline — imports brand-new, factory-sealed iPhones and Samsung devices from China to South Africa.
**Ops Hub:** WhatsApp group at https://chat.whatsapp.com/ISnpwbR7aXQ83yQNawGMH1?s=cl&p=a&ilr=4
**Framework:** Adapted from LeadLock AI's "My Most Productive Employee Doesn't Exist" guide.

## The philosophy

Midline runs on a small team of specialist agents coordinated by one assistant. The assistant lives in the WhatsApp Ops Hub. Every agent is good at exactly one job. They share one brain (knowledge base + memory) so context never dies. Every action that touches a customer stops for human approval.

The result: the business can operate 24/7 without the founder being the bottleneck, but the founder still owns every button that matters.

## The Assistant (Chief of Staff)

**Where it lives:** WhatsApp Ops Hub
**What it does:**
- Takes goals in plain language and breaks them into tasks.
- Dispatches each task to the right specialist agent.
- Sends a morning briefing (what moved overnight, what needs a decision today) and an evening wrap (what shipped, what is blocked).
- Surfaces every external action for approval.
- Watches the health of the whole team and alerts when an agent goes quiet.

**Example commands:**
- "Process today's WhatsApp orders"
- "Update the iPhone 16 Pro price list"
- "Find 10 new resellers in Johannesburg"
- "What is blocked right now?"

## The brain (shared context)

Three pieces keep the team connected:

1. **Shared memory** — every agent writes what it learns and reads what others learned. Context survives across sessions.
2. **Shared bus** — the assistant dispatches work, specialists return results, and every task is visible in one place.
3. **Knowledge base** — a RAG-powered store of product specs, pricing, shipping rules, customer history and market notes. Any agent can query it.

**What goes into the knowledge base:**
- iPhone and Samsung specs, model numbers and storage variants
- Live price list and margin rules
- Shipping rules (Express 4/5 days at R780, Normal 8/12 days at R300)
- Customer conversation history and delivery addresses
- Market notes: competitor prices, hot models, stock shortages
- Standard operating procedures (SOPs) for refunds, DOA and warranty

---

## Human roles and approval gates

AI drafts. Humans ship. These are the real approval owners:

| Person | Role | Approves |
|---|---|---|
| Matjale Machaka | Founder | Price changes, order commitments, outbound messages, refunds, partnerships |
| China Sourcing Partner | Stock & Pricing | Factory stock, supplier pricing, dispatch windows, authenticity checks |
| South Africa Logistics Partner | Delivery & Customs | Shipping method, customs clearance, last-mile delivery, returns |

**Hard rule:** Any message, post, price update or order confirmation that leaves the system stops in WhatsApp for a human yes first.

---

## Daily rhythm

### Morning briefing (sent by the Assistant)
- Orders received overnight
- Payments confirmed / pending
- Stock or shipping blockers
- Leads scored and ready for outreach
- Top 3 decisions needed today

### During the day
- Ops agent updates order statuses as shipping confirmations arrive.
- Outreach agent drafts follow-ups; founder approves and sends.
- Content agent drafts updates; founder approves and posts.
- Research agent adds new leads to the knowledge base.

### Evening wrap
- What shipped today
- What is blocked and why
- What runs overnight (health checks, competitor monitoring)
- Tomorrow's priorities

---

## Weekly rhythm

- **Monday:** Analytics agent delivers weekly sales + competitor report.
- **Wednesday:** Content agent proposes content calendar for the week.
- **Friday:** Lead Research agent reviews new leads and refreshes market map.
- **Sunday night:** Ops agent runs full system health check before the new week.

---

## Getting started checklist

1. **Confirm the Ops Hub.** Make sure the WhatsApp group link is active and the right people are in it.
2. **Build the knowledge base.** Seed it with the current price list, product specs, shipping rules and customer FAQ.
3. **Set up the assistant.** Configure it to read/write from the Ops Hub and route approvals to Matjale.
4. **Onboard one agent at a time.** Start with Ops & Health (order tracking), then Content, then Outreach, then Research, then Analytics.
5. **Run a test week.** Let the agents draft everything; humans approve nothing until the quality is trusted.
6. **Tighten the approval gates.** Once quality is proven, widen the auto-approved actions slowly and never remove human oversight on money or commitments.

---

## Success metrics

- **Response time:** New WhatsApp inquiries get a drafted reply within minutes, approved within hours.
- **Order accuracy:** Zero orders ship with wrong model, storage or price.
- **Lead throughput:** Number of qualified resellers/bulk buyers added per week.
- **Content consistency:** At least one value-first update posted per day.
- **System health:** Website, pricing and WhatsApp links checked nightly with zero silent failures.

---

## Guardrails

- Never let an agent send money, change bank details, or confirm an order without human approval.
- Never store customer payment cards or IDs in the shared knowledge base.
- Always disclose when a customer is speaking to an AI-assisted system.
- Keep backups of the knowledge base and conversation logs.
- Review and rotate WhatsApp group access monthly.
